Job Description
Town & Country Crossing Orthopedics is a solo, physician-owned spine surgery practice. We're a small team, so every person here matters. We care about personal attention for patients, efficient operations, and a front office that patients remember for the right reasons. We're looking for one reliable, detail-oriented person to be the first voice our patients hear and to keep our revenue cycle clean and current.

Position Summary

This combined role handles both the front desk and the full billing cycle for a busy spine practice. You'll greet and schedule patients, verify insurance, obtain prior authorizations, code and submit claims, follow up on denials, and post payments. In a practice this size, you're also the physician's key partner in keeping the office running smoothly. This role suits someone who likes ownership and variety and takes pride in getting things right.

Front Office Responsibilities
Greet patients in person and by phone with professionalism and warmth, many of whom are in significant pain.
Schedule new patient consults, follow-ups, imaging reviews, injections, and surgical dates, and coordinate with hospitals and ambulatory surgery centers as needed.
Collect and enter demographics, insurance information, referrals, and outside imaging and records before appointments.
Verify eligibility and benefits before every visit, and collect copays, deductibles, and outstanding balances at check-in.
Manage incoming faxes, referral requests, medical records requests, and patient portal messages.
Keep the waiting area and front desk organized and welcoming.
Billing & Revenue Cycle Responsibilities
Obtain and track prior authorizations for advanced imaging (MRI/CT), injections, DME, and spine surgery.
Assign and review CPT, ICD-10, and HCPCS codes, with appropriate modifiers, for office visits, procedures, and surgical cases.
Submit clean claims electronically, and monitor the clearinghouse for rejections.
Post insurance and patient payments, and reconcile EOBs/ERAs.
Work denials and appeals, and follow up on aging A/R to keep days in A/R low.
Manage workers' compensation claims, including case manager communication and required documentation.
Handle personal injury and attorney/lien cases, including records requests and balance tracking.
Prepare and send patient statements, set up payment plans, and answer billing questions with clarity and compassion.
Run basic monthly reports (collections, A/R aging, denial trends) for the physician.
Stay current on Medicare, Medicaid, and commercial payer rules relevant to spine care.
Qualifications

Required

2+ years of medical billing experience, including claim submission, denial management, and payment posting.
Working knowledge of CPT, ICD-10, and HCPCS coding and modifiers.
Front desk or patient-facing experience in a medical office.
Experience with an EHR/practice management system and clearinghouse.
Strong understanding of HIPAA and patient confidentiality.
Excellent communication skills, accuracy, and the ability to prioritize in a fast-paced environment.

Preferred

Orthopedic, spine, neurosurgery, or pain management experience.
Experience with surgical billing, including global periods and assistant surgeon billing.
Workers' comp and personal injury billing experience.
Coding certification (CPC, CPB, or CMRS).
Familiarity with your EHR, e.g., ModMed, eClinicalWorks, athenahealth.
Key Traits We're Looking For

We want someone who is self-directed and comfortable being the go-to person without constant supervision. You should be patient and kind with people in pain, and persistent with insurance companies. You'll need to be organized enough to track dozens of open authorizations and claims at once. And you should be trustworthy with sensitive financial and medical information.
